This website is operated by VIET FARM EXPORT COMPANY LIMITED ("VietFarm Export", "we"), 25 Street No. 7, Hanh Thong Ward, Ho Chi Minh City, Vietnam. We export fresh Vietnamese fruit to business buyers. This policy explains what personal data we collect when you use this website or contact us, why we use it and the choices you have. We process personal data in line with Vietnam's Law on Personal Data Protection (No. 91/2025/QH15) and its guiding Decree 356/2025/ND-CP, and other laws that apply to you.

1. What we collect

• Quotation requests: your name, company, country, business email and, if you choose, WhatsApp number; and the details of your request (product, grade, carton, quantity, destination port, Incoterm, shipping week, notes).
• Messages: what you send us by email, WhatsApp or phone.
• Order and shipping records: for buyers who place an order, the consignee and notify-party details needed for the sales contract, invoices and export documents.
• Technical data: basic device, browser and usage information collected by our website platform (Shopify) through cookies, to keep the site secure and working.

We do not take payments on this website and do not collect card numbers. Payment is made by bank transfer or letter of credit under a signed contract.

2. Why we use it

• To answer your quotation request and send offers, proforma invoices and contracts.
• To prepare and ship your order: booking, packing, phytosanitary and origin certificates, customs declarations.
• To keep business records required by Vietnamese accounting, tax and customs law.
• To send you occasional product or season updates if you are a buyer or have asked for them; you can opt out at any time.
• To protect the website against fraud and misuse.

We use your data because you asked us for a quotation or entered into a contract with us, because the law requires it, or with your consent. We do not sell personal data.

3. Who we share it with

• Service providers that run our systems: Shopify (website), Google Workspace (email) and WhatsApp (messaging).
• Logistics and inspection partners (shipping lines, forwarders, surveyors) and authorities (customs, plant protection, chambers issuing certificates of origin), only when needed for your order.
• Banks handling your payment or letter of credit.
• Authorities when required by law.

Some of these providers store data outside Vietnam or your country. We use reputable providers and share only what each task needs.

4. How long we keep it

• Quotation requests that do not lead to an order: up to 24 months, then deleted.
• Contracts, invoices and shipping documents: as long as Vietnamese accounting and tax law requires (generally 10 years).

5. Your rights

You can ask to see, correct or delete your personal data, withdraw consent to updates, or object to a use. Email sales@vietfarmexports.com with the subject "Privacy". We may need to confirm your identity and will reply within the time the law allows. Records we must keep by law cannot be deleted before the end of the legal period.

6. Cookies

Our website platform uses cookies that are needed for the site to work and for basic statistics. You can block or delete cookies in your browser; the quotation form still works.

7. Security

Access to quotation requests and buyer records is limited to our staff and the tools listed above, protected by passwords and two-step sign-in. No method is completely secure; please do not send passwords or card numbers by email or WhatsApp.

8. Changes and contact
